The detailed process

Each step is straightforward and visible to the buyer. The more complete the information at step one, the faster the rest moves.

01

RFQ Received

The requirement is received by email or through the RFQ form. Information that helps:

  • Item / part number
  • Specification
  • Drawing
  • Make / OEM
  • Quantity
  • Delivery requirement
  • Destination
  • Commercial requirements
02

Requirement Review

The requirement is checked and aligned with the buyer before sourcing begins:

  • Part number
  • Make / OEM
  • Model
  • Rating
  • Quantity
  • Size
  • Material
  • Drawing revision
  • Required certificates
03

Supplier Sourcing

Supplier and manufacturer options are identified across domestic and international markets — India as an important sourcing base, with other markets evaluated where specification, quality, lead time or commercial terms make them the better fit.

04

Quotation Evaluation

Supplier quotations are compared technically and commercially: conformance to specification, make and model, lead time, price, terms and documentation offered.

05

Commercial Offer

ProcWorld issues a consolidated commercial offer to the buyer covering the evaluated options, delivery and commercial terms.

06

Buyer Approval

The buyer reviews and approves the offer. Clarifications, alternatives or revisions are handled before any order is placed.

07

Execution

Purchase orders are placed with suppliers and followed up through confirmation, production or readiness, QA/QC coordination where agreed and documentation.

08

Dispatch & Logistics

Packing, consolidation where practical, freight planning and dispatch are coordinated with shipment and ETA visibility shared with the buyer.

09

Delivery Closure

Delivery is confirmed, documents are completed and the requirement is closed with the buyer.

Risk control

Identify the risk before it becomes a delivery problem.

Most delivery problems start as small gaps early in the process — an unclear part number, a make or model ambiguity, a missing drawing revision or a certificate requirement discovered late.

ProcWorld reviews the requirement before sourcing, aligns open points with the buyer, compares offers for conformance rather than price alone, and follows the order through readiness and documentation so issues are raised while there is still time to act.

  • Requirement alignment before sourcing
  • Make / OEM, model and rating confirmation
  • Drawing revision and certificate requirements captured up front
  • Technical and commercial comparison, not price alone
  • Supplier follow-up through production and readiness
  • Document check before dispatch
  • Shipment and ETA visibility through to delivery

Order Visibility

After approval, the buyer can follow the order through these stages.

  1. PO
  2. Supplier Confirmation
  3. Production / Readiness
  4. QA/QC
  5. Documents
  6. Packing
  7. Dispatch
  8. Shipment / ETA
  9. Delivery

Send us the requirement.

We’ll coordinate the sourcing journey.
